At Veri Eval, we value the privacy and security of your personal information. This policy outlines how we collect, use, and protect the data you provide when using our website and our credential evaluation service. Because we evaluate credentials earned all over the world, we handle personal information from clients in many countries, and we hold every client’s data to the same careful standard.

By accessing our site and using our service, you agree to the terms set forth in this privacy policy.

Information We Collect: We may collect personal information, including your name, email address, country where the credential was earned, and educational history. We also collect the documents you send us for evaluation — your transcripts, certificates, and, where needed to confirm a credential belongs to you, identification.

This information is gathered when you submit a pre-evaluation form, upload required documentation, or make a payment on our secure portal.

Payment Information: We do not store or record credit or debit card numbers. Payments are processed through a secure third-party payment gateway, ensuring that your financial details remain confidential and protected.

How We Use Your Information: The data we collect helps us provide personalized services and improve the overall client experience. Specifically, we use your information to:

Your information will never be sold, shared, or distributed to third parties without your explicit consent, unless required by law.

Where Your Documents Are Kept: The documents you send us are stored in our credential library — a secure, access-controlled space within our Microsoft 365 environment, where each client’s documents are kept in their own folder. Only the Veri Eval evaluators and staff working on your evaluation can open your folder, and access is controlled and logged. We keep your documents to carry out your evaluation and to hold the record of it — we do not use them to build any shared or public dataset.

How We Review Your Documents: To help evaluate some credentials, we use automated document AI. When a document has not been confirmed directly by your institution, we may run it through our document AI to read the details on it — names, dates, grades, credits — and to check that the document looks consistent and genuine. This helps us work accurately and spot possible fraud.

Importantly, the AI assists our evaluators — it does not decide your evaluation. A qualified person always reviews the results and makes the decision, and no evaluation outcome or fraud finding is ever made by the AI alone. Secure Document Submission: Our streamlined document submission process ensures that all exchanges of information between you and Veri Eval occur through a secure digital interface. We protect your data by employing encryption and rigorous security measures to prevent unauthorized access.

Handling Data Across Borders: Because we evaluate credentials from around the world and we are based in the United States, your information usually travels internationally when you send it to us — from your country to us and to the trusted service providers who host our platform. Where the law of your country sets conditions for sending personal data abroad, we follow them, and we protect your data to the same standard wherever it is handled.

How Long We Keep Your Information: We keep your evaluation and its documents for as long as they remain useful — so that you can reorder your report or rely on it in the future, however many years from now that may be. You can ask us to delete your information at any time, and we will do so unless the law requires us to keep it. One exception: where we have confirmed that a credential is fraudulent, we keep that record indefinitely to prevent misuse and to protect those who rely on our evaluations.

Accessing or Updating Your Information: If you need to update or correct any information, you can contact us via our secure client portal or email us directly.

Your Rights Over Your Data: Depending on where you live, you have rights over the personal information we hold about you. These generally include the right to ask for a copy of your data, to have it corrected, to ask us to delete it, to object to or limit how we use it, and to complain to the data-protection authority in your country. To exercise any of these, just contact us — there is normally no charge, and we will respond within the time the law allows.

If Something Goes Wrong: We work hard to keep your data safe. In the unlikely event of a security breach that affects your personal information, we will act on it promptly, notify the relevant authority within the time the law requires, and let you know where we are required to.

Changes to Our Privacy Policy: Veri Eval reserves the right to update or modify this policy as needed. Any changes will be posted on this page, and you are encouraged to review the privacy policy periodically.

2. GDPR Privacy Notice

This notice outlines how we process personal data transferred to us by individuals or entities located in the European Union (EU) at the time the data is shared. It adds detail for EU clients on top of our General Privacy Policy above; where this notice is silent, the General Privacy Policy applies.

Our Commitment to Privacy: We collect only the necessary personal data. We only use and share your personal data as outlined in this notice or as you explicitly agree to. We retain personal data only as long as necessary for the purposes described here.

What Data We Collect: Personal information such as name, email address, and country where the credential was earned. Order and evaluation process details, including educational records, prior names, contact details (address, phone number), date of birth, evaluation goals, delivery addresses for reports, order history, and correspondence related to your order. Cookies and device-related data for session management, user preferences, or tailored advertising content. In limited cases, we may request additional identification to confirm identity or resolve discrepancies in submitted records.

How We Collect Data: We obtain data directly when you scan copies of credentials for a preliminary review (note: these do not need to be verified for authenticity at this stage), apply for educational records, or communicate with us regarding services. Additionally, we may receive information from educational institutions, government bodies, or private verification services when verifying records for authenticity.

Automated Processing of Your Documents: Where a credential has not been confirmed through a trusted channel, we process the document through automated document AI (Microsoft AI Builder) to extract its details and to produce risk signals that help us detect fraud. Under the GDPR you have the right not to be subject to a decision based solely on automated processing that significantly affects you. At Veri Eval, the document AI supports our evaluators; it does not decide your evaluation, and every outcome and fraud determination is made by a qualified person. How We Store Data: We securely store personal data on encrypted servers and in restricted-access facilities, within our Microsoft 365 environment. Your documents are held in an access-controlled credential library, open only to the staff working on your evaluation. Our security measures protect your information from unauthorized access or disclosure.

Transfers Outside the EU: Veri Eval is based in the United States, so when you send us your data from the EU it is transferred outside the EU to us and to our processors. We make such transfers only with appropriate safeguards in place — [for example, your explicit consent to the transfer for your evaluation and standard contractual clauses with our processors; to be confirmed with counsel] — so that your data continues to be protected to EU standards.

Retention Period: We retain your data for as long as it remains necessary — in particular, so that you can reorder your evaluation report in the future — and you may ask us to delete it at any time, subject to any legal obligation to retain it. Data related to falsified records, including names, birthdates, and associated records, may be retained beyond this period, and indefinitely where fraud is confirmed, to prevent misuse.
